SNKC PRACTICES AND PROCEDURES

 

1. Fees are to be charged to nonmembers for training classes.

 

2. A maximum of $25.00 plus travel expenses will be the standard compensation for non member speakers.

 

3. The President and the Show Chairman will not show dogs at future SNKC shows.  (following the June 1992 show)

 

4. Members may attend the Judges' Dinners for the SNKC shows, with the understanding that discretion be used in contact with judges.

 

5. Any club member attending a symposium at SNKC expense must present information as a club program.

 

6:  The expenditure for flowers, memorial donations or other appropriate recognition shall be set at $25.00 for in-patient hospital procedures, birth of a child or marriage of a member and $50.00 on the death of a member.  In other cases, a card shall be sent.  In special circumstances, the membership may vote to make other recognition in keeping with these guidelines.

 

7. The Awards dinner will be held annually.

 

8. Proposed new members and guests are to leave the meeting room during new member voting.  The results of the vote are to be revealed to the members present and voting, and mailed to the candidates by the Corresponding Secretary.

 

9. Members accepted at the October, November or December meetings will be considered to have paid their dues for the following year.

 

10. There will be no smoking at club meetings.

 

11. Upon receipt of an application for membership in the SNKC, the name of the applicant shall be published in the newsletter prior to voting on the applicant by the Board and general membership.

 

12. Training classes will be free of charge to those members in good standing who have donated their time in service to the club.  This is provided that the club is in proper financial position to offer the classes free of charge to members.  Service to the club can take the form of performing the duties of a club officer, member of the board, working on a committee or by working at the shows or match.  The show and or match chairperson will provide a list of workers to the Board Secretary prior to the May Board meeting.  The board members will provide additional names to the list based on member participation with committees that the Board oversees.  A list of members approved for free classes by the board will be presented to the General Membership for approval at the May meeting.  The approved list of names will be valid for one year of free classes (June 1 - May 31), provided the club is in the proper financial condition.  Members who have fulfilled the qualifications stated above will receive the same benefit and level of instruction as nonmembers participating in the class.  Members who have not fulfilled the qualifications stated above will be charged for training classes.

 

13. All individuals attending, teaching, observing or working with classes sponsored by SNKC must sign a release stating that SNKC is absolved from any responsibility in the event that they, their dog or any member of their family becomes injured.

 

14. Any officer who is not able to attend a meeting must notify the President and arrange for duties to be performed by another club member.

 

15. Any Board member who is not able to attend a meeting must notify the Chairman and arrange for duties to be performed by another Board member.

 

16. Secret ballots, such as those for the election of officers, shall be prepared as follows: the completed ballot is placed inside an envelope and sealed, this envelope is then placed inside another envelope, sealed and signed by the club member.  Ballots will be compared with the attendance list for the meeting before being opened and counted.  The Recording Secretary shall keep the ballots for 6 months.

 

17. Club members can ask for reimbursement for their auto mileage when traveling for club business, subject to the approval of the show chairman or Board of Directors, as appropriate, and at the current IRS rate.

 

18. The club will donate $10.00 to a charity organization, in memory of any member's dog that dies during the calendar year as it occurs.  The member will choose the organization to receive the donation.

 

19. A member of SNKC shall be eligible for nomination to an office in SNKC only if said member is in good standing with the Club and has attended at least sixty (60) percent of the regular business meetings of SNKC held in the year immediately preceding such nominations.

 

20. A member of SNKC shall be eligible for election to an office in SNKC only if said member is in good standing with the Club, has been properly nominated as and if required under the by-laws, and has attended at least sixty (60) percent of the regular business meetings of SNKC held in the year immediately preceding such nominations.

 

21. A member of SNKC holding any office within the Club shall be considered to have resigned such office and shall be required to return all materials and appurtenances of such office to the Club if such member fails to attend at least 60% of all regular business meetings of SNKC held each year during the term of such office.

 

22. Practices and procedures numbered 21, 22 & 23 shall take effect on 1/1/96.

 

23. When, from time to time, the Membership, Show Chair or Board of Directors of the Club finds it necessary to contract for the performance of services not ordinarily performed by members in the regular course of the Club’s business, the Board of Directors may entertain bids on such contracts from members as well as non-members.  Such contracts shall then be awarded by the Board, in its judgment, to the bidder offering the most beneficial package to the Club.

 

24. The Club’s membership application shall have provision for the listing of additional information which shall be of value to the Club.  Examples are number of dogs, breeds owned, kennel services rendered, breeds licensed to judge, list of dog organizations of which applicant is a member or has been a member also name of the point shows, obedience trials and sanctioned matches the applicant has entered and shown dogs in the past two year period preceding the date of the membership application.

 

25. Duties of the Board of Directors include:

                (a) General management of the Club’s affairs shall be vested in the Board of Directors.

                (b) The Board shall elect their own Chairman, Secretary and Finance Committee.

                (c) The members of the Board shall approve any indebtedness before it  is incurred up to the balance of the Treasury.  Any indebtedness beyond the balance of the Treasury must be authorized by a majority vote of the Directors (not less than four(4)).

                (d) The Board shall appoint Committees as outlined in the Constitution & By-laws and Practices and Procedures and shall perform such other duties as may be necessary for management of the Club.

               

26. The President shall appoint all committees, subject to the approval of the Board, except otherwise made in motion and except as otherwise provided in the Constitution and By-laws and shall be, ex-officio, a member of all committees.  At the first or second meeting of each official year, the President shall appoint the members of the following committees:

                (a) Ways and Means Committee consisting of three (3) members and the First  Vice President who shall be Chairman.  This Committee shall have the responsibility for Club Publicity, Membership and Fund Raising efforts.

                (b) Programs Committee consisting of three (3) members and the Second  Vice President who shall be Chairman.  This Committee shall be responsible for providing interesting and educational programs at regular meetings or other occasions if designated by the President.

 

27. Reports submitted at the annual meeting shall be fiscal year reports.

 

28. Expenses relating to travel to and from the American Kennel Club Delegate’s Meeting shall be paid by the Club.

 

29. Bench Show Committee: A Bench Show Chairman and a Committee consisting of six (6) to twelve (12) members shall be appointed by the Board of Directors at the Annual meeting.  This Committee will be in direct charge of and responsible for all phases of the Club’s sanctioned matches, dog shows, obedience and agility trials, subject, however to the final authority of the Board for the entire year.

 

30. Newsletter Staff Committee: The Corresponding Secretary shall be Editor in Chief of the Newsletter, the Committee, consisting of three (3) members shall be appointed by the Board of Directors at the Annual Meeting for the entire year.  In the event the Newsletter should be discontinued, The Corresponding Secretary shall be responsible for notifying the membership of all meetings as stated in the Constitution and By-laws.

 

31. All books, videos and publications purchased by the club will be available for loan to members on a monthly basis.  The first Vice President will be in charge of the library and will sign items out at the meeting.  Items will be returned to the Library at the next monthly meeting for loan to other members.  In the event the item is damaged or lost while on loan, the borrowing member will be responsible for replacing the item.                                                                 

 

32.  SNKC WORKING MEMBER PROGRAM

A working member is e member in good standing who works in any capacity for the club such as an officer, committee member, someone who represents the club at public events, or provides services, materials, equipment, food, trophies or gifts value $25 or more all without pay or reimbursement, and attends 2 meetings a year.  If a member accepts pay or reimbursement from the club, then they are not entitled to the benefits of a working member for that particular situation.

Working membership privileges included at this time; reduced price classes, reduced price for the Christmas Party, annual awards, discounted club logo wear, and any additional items that the board wants to award.

The First VP will keep track of Working Member Status.  Lists of Workers will be provided to the First VP by Show Chairpersons, Committee Chairs etc. after each event so that the Worker Status can be updated.  Working member status will be reevaluated twice per year: Dec 31 (by the outgoing First VP) and after the Summer Show, approximately July 1.  If the Working member criteria have been met during the previous 12 months, then the member will be awarded Working Member Status.  For example:  Jan 1 evaluation, if a person worked on the previous Summer show, then they will be awarded Working member Status.  If that person does not do any further work for the club, then at the next evaluation, they will loose their Working member status.
